AI SPEAK 2.0 Administrator Guide (EN)

[Manage Institutions/Students] View and manage institution information, student learning, and conversation usage.
[Course/AI Conversation Settings] You can set which content to show, or control the amount of AI conversations available per day.
[Admin/Stats] You can add or change admin accounts, view your learning stats and conversation history.

1. How to Sign in as an Admin

Sign in
For your first login, check your admin email for a temporary password.

Log in with your admin username and temporary password, then set a password.

[Step 1] Sign in by entering your user ID and password.
2.
[Step 2] Check your verification email and enter the 6-digit verification code.
a.
If you don't receive the email, check your spam folder.
c.
If your password is incorrect more than 5 times, your account will be locked (requires full admin contact)

2. How to Manage Institutions and Students

Manage agencies

2-1. Check your organization information

Manage Authorities > Enable Authorities
You can view institution information, contract information, student (user) list, and token usage.
Institutional contract information: Institutional information, contract information, settings information
(Note) The “Learning language” item is the language the user is learning. The “Translation Language” item is the language the user is using as an option to translate sentences in AI conversations, which defaults to “English” and can be changed to any other language.
Institutional student users: Select [Full list of students] to see more details.
Token usage: Select [View token usage details] to see the details.

2-2. Check user usage

Institution Management > Students
List of student users (joined, date of study, etc.)
usernames are marked as anonymous (random nickname).

2-3. Check the user's detailed learning status

Institution Management > Students > Student Details > [Learning/Conversations/Tokens] tab
The user details screen lets you see your learning progress.
[Learning] Emergency Korean course status, pronunciation learning results, etc.
[Conversations] Usage of Lesson Conversations, Topic Conversations, and Free Conversations
[Token] AI Conversation Token Usage

3. How to Set Content Visibility

Manage Content Organization > Unitized Courses, AI Topic Courses

Check the course information by unit / topic.
a.
Unit-based courses: Emergency Korean textbook-based courses (Beginner 1, Beginner 2, Intermediate 1, Intermediate 2, Advanced)
b.
Topic-based courses: Self-introduction, school life, etc.

Set visibility
a.
By default, all courses appear on the user's screen.
b.
Select “Don't Show” to change courses that you don't want to show.

4. How to Manage Conversation Usage

AI Engine Settings > AI Conversation Settings
You can manage your users' daily token usage and view their token usage status.
If you'd like to add a contract term or more tokens, contact your sales representative.

4-1. Set the daily token usage

AI Engine Settings > AI Conversation Settings > [Set daily token usage]
1.
“No limit” is the default setting.
2.
Select “Limit” and enter the maximum number of tokens per user per day.
3.
Once the maximum number of tokens per user per day is exhausted, the user will be restricted for the day.

4-2. Set a low token email alarm

AI Engine Settings > AI Conversation Settings > [Low Token Notification Settings].
You can set up low token notifications.
1.
Enter a notification rate, and you'll be directed to the email of the highest admin.
2.
You can enter the emails of additional notification contacts.

5. How to View Conversation History

AI Conversation History > AI Lesson Conversations, Topic Conversations, and Free Conversations History
You can see how institutional users are using conversations by type.

6. How to Check Learning Statistics

Learning Status > Conversation Statistics by Lesson, Conversation Statistics by Topic
The user's usage of the course by unit and topic.
Set the lookup period and select the [Lookup] button to view the statistics results.

7. How to Manage Admin Accounts

Administrator Management > Administrator Accounts
View a list and status of institutional admin accounts
Change an individual admin's password, change their email, etc.
You can add an admin account.

7-1. Check the admin list

You can see a list of agency admins.

7-2. Add an admin account

Select the [Add admin account] button.
On the screen, select “User Administrator” and enter your username/name/email.
Click the [Save] button to register as an administrator, and you will be sent an initial password to your registered email.

7-3. Change admin password/email

Change Password: Click the [Reset Password] button, and a reset password will be sent to your registered email.
Change Email: Enter the email you want to change and select the [Save] button above to save the change.
